Create a short current-service brief

List the services currently offered, the confirmed vendors, exclusions, contact details and when a person should take over. Give the brief a review date and an owner who can approve changes. Keep assumptions and proposed services out of the facts the agent may present as settled.

Each project has an agreed scope; the agent should not invent prices, availability, guarantees or capabilities.

Choose the sources deliberately

Start with an explicit list of approved service and contact pages. Check whether your platform stores imported text, crawls pages on demand, or does both. Inspect its source list and retrieval behavior before assuming a website change has replaced what it already knows.

An old article can remain reachable through a sitemap, category archive, feed or content API. A URL inventory should include those discovery paths as well as the main menu. Replace useful content with relevant current material and decide explicitly what happens to discontinued pages.

Refresh, then test the answers

Record the questions, expected facts and observed answers. Repeat the checks after a material service change. Redirecting a URL helps future visitors and crawlers; imported copies may need a separate refresh in the agent platform.

  • Use the platform’s documented process to remove or replace obsolete sources.
  • Refresh the approved pages and check the resulting source inventory.
  • Ask which hosting provider is offered and which services are excluded.
  • Ask about an old offer and confirm that the agent directs the prospect to current options or a person.
  • Ask for a price or guarantee that is not in the brief and verify that the agent avoids making one up.

Keep a human handoff available

The goal is a useful first conversation with a prospect and an accurate next step. Make it clear who handles questions outside the approved facts. Review actual failures with the responsible team and correct the source or instructions that caused them.
